Introduction

This Privacy Policy explains how Safety Intelligence Solutions, S.A. ("EHS-SSO") collects, uses, stores, and protects personal and biometric data through the EHS-SSO mobile application (the "Application"). This Policy applies globally, except in the countries listed in Section 9, where the Application is not available.

This Policy should be read together with our Terms and Conditions. In the event of a conflict between this Policy and the Terms and Conditions regarding data protection matters, this Policy prevails.

Who we are

Safety Intelligence Solutions, S.A. is a company organized under the laws of Guatemala, providing environment, health and safety (EHS) support technology to companies operating in the field.

Data we collect

3.1 Biometric data
  • A facial image captured at the time of registration, used to create an identity verification reference.
  • Facial images captured at each login or attendance check, processed through Google Cloud Face API to compare them against the registration reference.
3.2 Photo and location data
  • Photographs of Personal Protective Equipment (PPE), safety conditions, or documents submitted through the Application.
  • Precise GPS coordinates, username, date, and time, permanently embedded as a watermark on each photo (see Section 6).
3.3 Account and usage data
  • Name, username, and credentials used to access the Application.
  • Application usage logs, submitted forms, and generated reports.

How we use your data

  • To verify the identity of the person using the Application when logging in and during field activity.
  • To validate Personal Protective Equipment and safety conditions using AI-assisted tools (Google Cloud Vision, Amazon Textract).
  • To generate safety and compliance reports for the human supervisors designated by the contracting company.
  • To maintain traceability and prevent falsification of safety records through the permanent watermark described in Section 6.

The Application does NOT analyze emotions, facial expressions, or personal characteristics beyond identity verification, and does NOT identify or track third parties who may incidentally appear in a photo.

Legal basis and consent

Where required by applicable law, we process your biometric data based on your explicit and informed consent, given at the time of registration. You may withdraw this consent at any time by contacting the administrator designated by your employer or EHS-SSO support; withdrawing consent means you will not be able to use the Application's facial recognition feature, in accordance with Clause 29 of our Terms and Conditions (facial recognition is mandatory and has no alternative method within the Application).

Geo-tagged and non-editable photos

Photos captured through the Application permanently embed GPS coordinates, username, date, and time. This information cannot be edited or removed under any circumstances, and exists to ensure the traceability of safety records.

Who we share data with

  • Authorized supervisors designated by your employer (the contracting company), through the employer's admin panel.
  • Artificial intelligence service providers strictly necessary to operate the Application: Google Cloud Vision, Google Cloud Face API, Amazon Textract, and Google Maps.

We do NOT sell, rent, or share your biometric or personal data with third parties for unrelated advertising or commercial purposes. Any other type of sharing requires your explicit written consent, unless required by law or a government authority.

Data retention and deletion

  • Biometric templates are stored only for as long as necessary to provide the identity verification function.
  • Data is deleted within the period required by local law, or at most 90 days after the end of the employment relationship or contract with EHS-SSO, whichever occurs first.
  • You may request expedited deletion of your data at any time by contacting us using the information in Section 2.

International availability and excluded countries

Due to specific legal frameworks on data protection and biometric data, the Application is not currently offered in the European Union, the European Economic Area, the United Kingdom, Switzerland, Brazil, South Africa, or the United States. If you are located in any of these jurisdictions, the Application will not be available and no biometric data will be collected. The complete list of excluded countries is set out in Clause 25 of the Terms and Conditions.

Your rights

  • Request access to the biometric and personal data we hold about you.
  • Request deletion of your data, in writing, at any time.
  • Receive a copy of your data in a structured, commonly used format (data portability).
  • Exercise any other right recognized under the data protection law applicable in your country (for example, GDPR, CCPA, or LGPD, where applicable).

To exercise any of these rights, contact us using the information in Section 2. We will respond within the period required by applicable local law.

Security

All photos and biometric data are stored on secure, encrypted servers. In the event of a security breach affecting your personal data, we will notify affected users and, where required by law, the relevant authorities within 48 to 72 hours of becoming aware of the breach.

Minors

The Application is intended for adult workers and administrators in an occupational context. It is not directed at minors, and we do not knowingly collect data from individuals who do not meet the minimum age and legal capacity requirements described in our Terms and Conditions.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be notified at least 30 days in advance. Continued use of the Application after such changes take effect constitutes acceptance of the updated Policy.
